Erasmus mobility procedure

Students applying for an Erasmus, Fame or Erasmus Belgica mobility program (for an internship or a study stay) must follow the procedures below to apply for a grant:

Erasmus study trips

Complete the Erasmus application form, including the reason(s) for applying, the destination(s) chosen and the desired length of stay. This document must be completed by :

  • February 15 of the previous academic year in the case of study stays outside the EU in the 1st semester
  • March 1st of the previous academic year for stays in the European Union during the 1st semester
  • October 15 of the current year for stays in the 2nd semester

After approval by their category coordinator, students will receive information on how to apply to the university of their choice. If accepted, the following documents must be completed and RETURNED TO US NO LATER THAN 15 DAYS BEFORE DEPARTURE:

  • Learning Agreement
  • submit a copy of results obtained to date (copy of report cards)

Once accepted by their university, students must have the following documents completed and signed when traveling abroad:

  • the study agreement (including appendices)
  • the stock exchange contract
  • an international health insurance card: before a grant is awarded, students must provide an international health insurance card or, for internships/stays outside the EU, full insurance covering the following risks: luggage, repatriation, death and hospitalization.
  • certificate of stay
  • the Erasmus beneficiary’s electronic report

All these documents, together with the Erasmus Charter, will be given to the student at the pre-departure briefing.

The certificate of stay and report must be completed no later than one month after return.

EU and non-EU Erasmus internships

Students wishing to obtain a mobility grant for their internship must complete an application form, which must include the reason(s) for their application, their chosen destination(s) and the desired length of stay.

This document must be completed by October 5 of the current academic year.

However, if you are planning to study outside Europe, we advise you to fill in your application form in advance, and to take the necessary administrative steps for your stay: passport, visa, work or residence permit. In this case, students must provide proof of possession of all documents no later than one month before departure. If this is not the case, the internship coordinator will refuse the chosen destination.

Awarding scholarships

A selection and award procedure will take place after all applications have been received. Students will receive a final reply within 10 working days of October 5. In the case of early applications, the CRI may issue a positive opinion for distant destinations.

At this point, if the student has been awarded a scholarship, the institutional coordinator will draw up an “Erasmus internship” or “Fame” scholarship contract.

Then, the student will have to write and/or provide the following documents:

  • attestation de séjour (document at the end of the internship agreement, entitled “après la mobilité”)
  • internship agreement Erasmus/FAME MUST BE COMPLETED AND SIGNED BY ALL PARTIES NO LATER THAN 15 DAYS BEFORE DEPARTURE.
  • an international health insurance card or, for internships outside the EU, comprehensive insurance covering the following risks: luggage, repatriation, death and hospitalization.
  • Erasmus electronic internship report
  • the CRI “testimonials” questionnaire.

All these documents, together with the Erasmus Charter, will be given to the student at an information meeting, during which he or she will sign the financial agreement and receive a copy.

Students wishing to carry out an internship or stay with the help of another funding organization such as WBI, Forem or Awex can contact CRI if they require assistance in this area. These files are not managed by the CRI, but by the students themselves, who must follow the procedures in force at the chosen organization.

Selection criteria

In accordance with the rules of the French-speaking Erasmus Agency (AEF-Europe), students applying for mobility will be selected according to the following criteria:

  1. Knowledge of the working, teaching or host language (European language grid). The student’s level will be assessed using the Erasmus+ OLS (Online Linguistic System) tool, or by HEAJ language teachers. If necessary, CRI may require a language test at its International Relations Office (rue Godefroid, Namur). The minimum level required is B1 for an internship and B2 for a study stay.
  2. Satisfactory academic level: January marks and results from previous years. In the event of insufficient marks, a student may be refused entry. For the “Creative and Digital Industries” department, a portfolio will also be required. For the Pedagogical Department, successful completion of the internship is unconditional.
  3. Motivation and objectives: based on application form + course attendance.
  4. Autonomy and personality: on the advice of the teachers in charge.

Important notes

  • Priority will be given to students traveling to a country/region other than their country/region of origin.
  • To be eligible for a study visit, selected students must have completed all teaching units before the start of their study visit.
  • For the “Enterprise and Communication” department, students wishing to go on a study trip must submit their TFE subjects by June 1 at the latest. Otherwise, students will be removed from the shortlist.

The final decision will be announced within 15 days of the closing date for applications, by the international category representative after consulting a panel of professors concerned.
